JOB DESCRIPTION
ADMINISTRATIVE ASSISTANT
Progressive non-profit organization is seeking experienced Administrative Assistant
RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:
- answer phones, direct calls appropriately, and greet guests to the office with professional courtesy
- provide general administrative and clerical support to staff consisting of 8
- receive and sort mail and deliveries
- prepare letters and documents
- add new material to file records, and create new records as necessary
- find and retrieve information from files in response to requests from authorized users
- perform periodic inspections of materials or files in order to ensure correct placement and legibility
- place materials into storage receptacles, such as file cabinets, boxes, bins, etc.
- assist with the recording and preparation of financial documents and reports as directed
- schedule meetings and assist in coordinated other activities as required
- oversee and ensure basic maintenance/troubleshooting of all office equipment
- maintain a calendar of due dates for routine grant request, proposals, annual reports, etc.
QUALIFICATIONS:
• effective communication skills, including excellent phone manner and good writing skills
• excellent organizational and time management skills
• excellent and efficient record-keeping abilities
• ability to work well as part of a team
• attention to detail and precision in thinking
• knowledge of Microsoft software programs and Quick Books
• bookkeeping experience a plus
• knowledge of the St. Louis community preferable
• minimum of 5 years prior experience as Administrative Assistant
